Enrollment Form Do's and Don'ts

Do you know the quickest, easiest way for your employees to start saving for retirement in the CalPERS Supplemental Income 457 Plan?

Make sure every Enrollment Form is filled out completely.

The enrollment process is done manually. So when information is missing or Enrollment Forms are sent to CalPERS instead of Voya® Institutional Plan Services, LLC, everything slows down. That’s not good for your employees — or for you, since follow-up phone calls and rejected forms add to your workload.  

When Enrollment Forms are done right every time, you help:
•  Your employees begin saving and investing in the 457 Plan promptly
•  Cut down on errors, delays and employee complaints
•  Reduce duplicated efforts 

Three areas on the form are vital, but are often left blank:
•  Employer name
•  Agency plan number
•  Employer signature

Both the employer name and agency plan number are needed to identify which plan the participant belongs to. Forms that lack the employer signature cannot be accepted.

Before you send in Enrollment Forms, please double-check:
•  Did you fill in the employer name?
•  Is the agency plan number on the form?
•  Are all blanks on every page filled, including the employer signature?
•  Do you have all of the pages ready?
•  Don’t send forms to CalPERS. Fax them to Voya® at 1-888-228-6185.
•  Is the Beneficiary Designation Form ready to send along with the Enrollment Form?

Please make the completing the Beneficiary Designation Form part of the enrollment process. Asking your employees to designate their account’s beneficiaries as they enroll in the 457 Plan increases the likelihood they will complete that important step.

Please visit the CalPERS Supplemental Income 457 Plan booth at the CalPERS Educational Forum in San José October 26 – 28, 2015. CalPERS Supplemental Income Plans and Voya® representatives* will be available daily to answer your questions about the 457 Plan.

The CalPERS Educational Forum offers city, county, school, special district and state employees the opportunity to:

Participant Valuation Reports Are Online

Paper Participant Valuation Reports with details and summaries of participant activity in the CalPERS Supplemental Income 457 Plan are no longer mailed to agencies.

Your agency’s Participant Valuation Reports can be accessed on the Sponsor Website at https://sponsor.voya.com in the Comma Separated Value (CSV) file format to give you these advantages:

  • Flexibility: You can open a CSV file in a spreadsheet program and sort the data any way you like. It’s simple to generate your own accounting, audit and reconciliation reports using a CSV file, a big improvement over the PDF file format of the past.
  • Faster: Instead of waiting days for mail delivery, you will generally have online access to reports the first day of the month after the month and quarter end. You can also pull reports for prior time periods any time.
  • Security: Reports are available exclusively to your agency when you log in online. This helps protect your data, replacing paper reports that could be delayed, lost or stolen in the mail.
  • Go green: Eliminating paper reports saves trees and is better for the environment.

If you do not currently have a login for the Sponsor Website and are ready to access reports online, please contact your plan administrator at CalPERS_Plan_Admin@voya.com who will send you the secure login information. After your email is received, it may take up to two weeks to process your request.

Enhanced Password Protection For Plan Accounts

CalPERS introduced a new security measure that took effect August 3, 2015. The first time participants log into their CalPERS Supplemental Income 457 Plan account after that date, they are prompted to create a password that replaces their personal identification number (PIN) for accessing account information and handling transactions.

To help you guide your employees through this change, here are answers to frequently asked questions.

 

Why should I change my PIN to a password? A password-protected Plan account is longer which helps make it stronger than a PIN.
Am I required to change my PIN to a password? You are encouraged to change your PIN to a password, but will not be forced to change it.
How do I create my password?
Use at least eight and no more than 20 characters, including letters and/or numbers.
You may use a mix of upper and lower case letters (e.g., A and a). Whether you type the letters in upper or lower case when you log in online or use the Plan Information Line, you will be able to access your account because the system is not case sensitive.
Special characters may not be used, including ! @ # $ % ^ & * ( ) ?
Do I use my new password when I call the Plan Information Line, too? Yes. Simply press the letters and numbers on your telephone or mobile device keypad that correspond to the letters and numbers that make up your password. 
What happens if I forget or misplace my password? Go to https://calpers.voyaplans.com, select Forgot Password? under Log In and follow the prompts. Or call the Plan Information Line at 1-800-260-0659.


Help Your Employees Pick Up The Pace
During National Save For Retirement Week

October 19 – 23, 2015

Let’s work together to help your agency’s employees take full advantage of the 457 Plan. Here’s what you can do:

Encourage all eligible employees to enroll in the 457 Plan.
Suggest that all 457 Plan participants review their contribution level and investments during this time.
Reach out to participants who are age 50 and older to remind them about catch-up contribution options for saving more in the 457 Plan.
